To build a business expense tracker in Google Sheets, use one Transactions tab for purchases and refunds, one Categories tab for consistent labels, and one Summary tab for monthly totals. Give each transaction a receipt reference and a review status. This creates a register you can check against your statements and share with the people who need it.
The example below uses a single currency and records paid expenses. It is a spending register; businesses that need inventory accounting, payroll, or formal financial statements will need a more complete accounting system.
Set up the Transactions tab
Create a blank spreadsheet and rename the first tab Transactions. Paste this tab-separated starter data into cell A1:
Date Merchant Description Category Amount Currency Account Receipt Status
2026-10-02 Example Software Monthly design subscription Software 24 USD Business card EXP-001.pdf Matched
2026-10-05 Example Print Shop Workshop handouts Printing 48 USD Business card EXP-002.pdf Matched
2026-10-09 Example Software Partial subscription refund Software -4 USD Business card EXP-003.pdf Matched
2026-11-01 Example Software Monthly design subscription Software 24 USD Business card EXP-004.pdf Unreviewed
These are illustrative transactions, not price benchmarks. Format column A as dates and column E as numbers with two decimal places. Confirm the first three rows show October dates and the fourth shows November; ambiguous date text can put transactions in the wrong month.
Keep purchase amounts positive and refunds negative. In the example, October spending is $68: $24 + $48 − $4. The November purchase belongs in the next month's total.
The formulas below use English function names and commas between arguments. Your spreadsheet locale may use semicolons instead.
Use a short category list
On a second tab named Categories, put Category in A1 and your allowed labels beneath it. For this example, include Software and Printing. Add the categories your business needs, such as Supplies, Advertising, or Professional services.
Use that list for a dropdown in Transactions column D. Consistent labels stop “Software,” “Apps,” and a misspelled “Softwre” from becoming three separate spending groups.
A category describes an entry for your review. It does not determine its tax treatment. Our 1099 expense tracker guide covers the supporting records and review notes useful for a US freelance business.
Build a monthly summary
Create a third tab named Summary with this layout:
| Cell | Enter |
|---|---|
| A1 | Month starting |
| B1 | =DATE(2026,10,1) |
| A3 | Category |
| B3 | Net spending |
| A4 | Software |
| A5 | Printing |
| A7 | Total monthly spending |
In B4, enter:
=SUMIFS(Transactions!$E$2:$E$10000,Transactions!$D$2:$D$10000,$A4,Transactions!$A$2:$A$10000,">="&$B$1,Transactions!$A$2:$A$10000,"<"&EDATE($B$1,1),Transactions!$F$2:$F$10000,"USD")
Copy B4 into B5. The formula adds amounts for the named category, selected month, and USD currency. Google documents how multiple criteria work in its SUMIFS reference.
For the starter data, B4 should show 20 and B5 should show 48.
In B7, enter the independent monthly total:
=SUMIFS(Transactions!$E$2:$E$10000,Transactions!$A$2:$A$10000,">="&$B$1,Transactions!$A$2:$A$10000,"<"&EDATE($B$1,1),Transactions!$F$2:$F$10000,"USD")
B7 should show 68. This total includes every matching transaction, even if its category is blank. Compare it with the sum of the category rows. A difference can reveal a missing category or a label absent from the summary.
The example formulas cover rows 2 through 10000. Extend every referenced range together before you exceed that limit. To summarize another currency, replace USD consistently and label that summary with the selected currency. Do not add amounts in different currencies without an explicit conversion method.
Check the month boundary before using real data
Change B1 to =DATE(2026,11,1). Software and total monthly spending should both show 24, while Printing should show 0. Then restore October.
This checks a useful boundary: October totals include October 1 through the moment before November 1. They do not accidentally combine October from different years or pull in next month's purchases.
If the expected results do not appear, check whether the dates and amounts are stored as actual date and number values. Formatting text as a date or currency is not always enough to convert it.
Connect receipts to the register
Use a document name or link that identifies the supporting record. A folder organized by year and month can work well with transaction references such as EXP-001.
Keep enough detail to distinguish similar purchases. Two $24 software payments on different cards should have separate references. If you split one receipt between projects, explain the split and make sure the components add back to the original payment.
You can use BudJet to capture and categorize receipts while maintaining your business register in Sheets. Check the scanned details before using them. The spreadsheet remains useful for business purpose notes, project references, and questions you need to resolve. For an occasional receipt, the free receipt to CSV tool copies its items in a format you can paste straight into Sheets.
Keep a weekly review queue
Filter the Status column to Unreviewed. For each entry, open its receipt, compare the amount with the payment record, confirm the category, and change the status to Matched when checked. Use Question for entries that need more information.
At month-end, compare the full register with each relevant statement. Look for payments that never reached the sheet as well as entries that appear twice. A tidy summary cannot reveal a purchase that was never entered.
Share the spreadsheet and its receipt folder only with the people who need access. Check both sets of access settings: sharing the sheet does not necessarily grant access to linked documents. Keep a dated copy after completing each monthly review.
Avoid these spreadsheet mistakes
| Mistake | What to do instead |
|---|---|
| One separate tab for every month | Keep one register and select the month in Summary |
| A receipt and its card payment both counted as purchases | Match them to one expense entry |
| A card repayment counted as another expense | Identify it as settlement of previously recorded purchases |
| Refunds recorded as positive purchases | Use negative values under the same sign convention |
| Categories typed differently each time | Use a controlled category list |
| EUR and USD amounts added together | Summarize separately or use a documented conversion method |
| A monthly total treated as a tax return calculation | Review tax treatment separately with the relevant records |
Common Google Sheets expense tracker questions
Can this work for a freelancer?
Yes. Add a Project or Client column if you need to review spending by engagement. Keep the original category and document references so the same purchase can be understood from either view.
Can I add income to this sheet?
Yes, but define how the formulas distinguish income, expenses, and transfers before adding those rows. The income and expense tracker guide explains a structure for that broader task.
Does the tracker automatically import bank transactions?
The setup described here uses manually entered data. If you bring in a statement export, review its dates, signs, currency, and duplicate rows before combining it with your register.
Should I use Sheets or Excel?
Use the tool you can maintain consistently and share appropriately. If you prefer an Excel Table with named column references, follow the separate Excel expense tracker tutorial.
When should I move to an app?
Consider an app when capturing and categorizing purchases is the work you keep postponing. Keep the sheet if its custom views and business notes still help. For broader options, see our business expense tracker comparison.
